Is Syncly Licensed?

Transaction Coordinators in California are not required to have a real estate license; however, Syncly does have a licensed broker on staff and complies with all state and local regulations that govern our industry.

How Does Communication Work Between Syncly, My Clients, & Me?

Effective communication is vital during a transaction, and at Syncly, we prioritize it at every step. We provide regular updates on your transaction's progress, establishing clear communication channels tailored to your preferred methods and frequency, ensuring a seamless collaboration.  Acting as the central point of contact for all transaction participants, Syncly facilitates communication among agents, clients, lenders, escrow, title, inspectors, and other stakeholders, and maintains a detailed conversation log for broker compliance.

 

Our commitment extends beyond updates; we provide continuous support to clients by addressing questions, educating clients on the transaction process and action items, and delegating questions beyond our designated scope. Our approach blends automated email and text updates with personalized responses, relaying all messages and information promptly.

What Technology Or Software Does Syncly Use?

At Syncly, we utilize technology that is designed to streamline your real estate transactions and seamlessly elevate your client’s experience.

  • Transaction Management:
    We provide an app-based Client & Agent Portal that keeps you and your clients in the loop and updated in real-time with 24/7 access to the transaction Timeline to track important dates, the Transaction Tracker for real-time status updates, all transaction Details, view and download Documents forever, all client-side Contacts, and all the Tasks that are scheduled and completed.
  • eSignature:
    We send out documents for eSignature with Glide signatures or through our DocuSign® integration.
  • Broker Systems:
    We are intimately familiar with many of the most popular 3rd party and proprietary systems used by brokerages for compliance, including Paperless Pipeline, Skyslope, dotloop, BrokerMint, reZEN, KWCommand, Compass, RealSmart Agent, CB Desk, Open To Close, Google Drive, and Dropbox.  For any others, we’ll learn.

How Do You Handle Confidential Information?

What Happens If You Identify An Issue Or Discrepancy?

At Syncly, we maintain vigilant oversight of your transaction’s progress.  Should we identify a potential issue, rest assured that we will promptly bring it to your attention and work collaboratively to find solutions and answers to any questions that may arise. Our goal is to ensure a smooth transaction process and proactively address challenges to keep your transaction moving toward a successful close.

Consider us your highly experienced and seasoned team member who can offer a very educated opinion on real estate transaction matters; however, we are unable to advise, as all agents are required to follow the advice of their broker in all matters.  While our opinion will vary depending on the issue, our advice is always to consult with your broker.

Through our superior $1 million E&O coverage and “Stress Less” Legal Services, we have access to expert legal advice 7 days a week.  Our attorney's risk management services go far beyond the typical legal hotline to help us address issues with any aspect of your real estate transaction when they are discovered, so we can resolve issues early, including phone consultations, contract and document review, and the preparation of attorney letters, releases, and addendums, all with a guaranteed response within 4 hours or by the next business day.

How Does Syncly Differ From A Virtual Assistant?

Although both Syncly and virtual assistants operate virtually, specializing in administrative tasks to enhance efficiency, they play distinct roles with unique skill sets.  Notably, there are substantial differences setting Syncly apart from a conventional virtual assistant.  Here’s how our skills differ:

  • Syncly:
    We are highly specialized in our service and are real estate transaction experts who follow standardized processes to ensure consistency in your transactions and client experience.  We are well-versed in the specific forms, documents, disclosures, and intricacies involved in buying and selling properties, and we are paid on a per-transaction basis.

    Functioning as the central point of contact for all parties involved in a transaction, we facilitate seamless communication between agents, clients, lenders, inspectors, title, escrow, and other stakeholders.  Handling the end-to-end management of real estate transactions, we manage paperwork and deadlines with precision to mitigate the risk of errors and delays, contributing to a smoother process while  navigating complex compliance requirements.

    With a deep understanding of local, state, and federal regulations pertaining to real estate transactions, we play a crucial role in ensuring that all legal and regulatory requirements are met, reducing the risk of compliance issues, and we are well experienced at handling challenges that arise during transactions.
  • Virtual Assistants:
    In contrast, virtual assistants (VAs) possess a broader and more generalized scope and can assist with both administrative and non-administrative tasks, not limited to real estate transactions.  VAs can be helpful to agents who need help with various aspects of their business and are typically paid by the hour.  Their skills may include managing emails, scheduling appointments, data entry, social media management, customer support, research, content creation, video editing, and more. 

    While some VAs may have limited experience in real estate, their expertise is not solely focused on real estate transactions, potentially resulting in unfamiliarity with industry intricacies.  Inexperienced VAs could make errors that might negatively impact transactions, leading to oversight of crucial details.

Do You Also Sell Real Estate?

No, we do not compete with our agents.  In 2024, Syncly will launch a FSBO division that will generate for sale by owner sellers who are ready, willing, and able to list with an agent, which we will refer out to our Syncly agent clients.

Do You Work With All Agents & Brokerages?

Yes, we can work with anyone.  Syncly is an independent and private transaction coordination company, and we are not affiliated with any brokerage.

Do You Show Property Or Hold Open Houses?

No.  While we have a broad knowledge and skill set in the real estate industry, including showing property and holding open houses, our specialization lies in transaction coordination, which is our focus.  To maintain quality and efficiently provide a high level of service to our many agents in our area of expertise, we must avoid additional time commitments that would divert our attention from our primary responsibilities.

Do You Write Contracts?

Syncly can assist in preparing and completing standardized forms and documents, including offers and counter offers, as long as the information is provided by the agent and the final document will be reviewed and approved by the agent prior to the document being presented or delivered to the principal or party to the transaction.

However, we may not discuss the content, relevance, importance, or significance of any terms or conditions of the sale, contract, or disclosures with the principals of the transaction or advise on those matters.

 

Furthermore, we may not engage in negotiating any aspect of the transaction, including contract, request for repair, price adjustments, and extensions of time terms or conditions, or otherwise act in place of the agent.

What Are Your Concierge Services?

  • Single Listing Sites:
    We create a single listing/mobile property site as a done-for-you service included with every listing that features lead generation & mobile lead capture tools, instant lead alerts, automated marketing, social sharing, open house registry, domain name, virtual tour links, & detailed analytics. What Are Your Hours?

Our standard hours are 9 a.m. to 6 p.m. Monday through Friday, excluding national holidays.  However, the real estate industry never stops, and our agents work 7 days a week.  That means we as a company cannot always adhere to our posted hours.  If you have an urgent need outside of our regular hours, you may contact us by phone, email, or text.

Syncly serves agents in California and is expanding to cover additional states in 2024.

How Much Do Your Services Cost?

We charge a flat fee per transaction for our full listing and transaction coordination services. 

Listing Coordination:

  • Full listing coordination and client support services
  • Client & Agent Portal
  • Single Listing Site
  • $150 upfront, non-refundable fee*
    *applied towards total sale transaction coordination fee

Transaction Coordination:

  • Full sale coordination and client support services
  • Client & Agent Portal
  • Moving & Home Services Concierge
  • $500 Single Agency | $750 Dual Agency*
    * paid at closing through escrow. Upfront Listing Coordination Fee is deducted, if applicable

How Is Syncly Paid?

Our listing-coordination fee is paid upfront by the agent and is applied as a credit towards the total sale transaction coordination fee.

Our total sale transaction coordination fee is due and payable at closing.  We accept payments by escrow disbursement, brokerage disbursement, by the agent directly, or charged to the client where allowed.

Are Your Fees Deductible?

It’s important to consult with a tax professional for advice tailored to your individual circumstances; however, we can provide some general information.

Transaction coordination fees may be considered an ordinary and necessary business expense for real estate agents, and in many cases, business expenses incurred are tax-deductible.

What Is The Syncly Rewards Program?

What Is Your Cancellation Policy?

  • Listings:
    In the event that your listing is canceled, the upfront listing-coordination fee of $150 is non-refundable.  However, if your listing goes into escrow and the resulting transaction falls through, the upfront fee will not be forfeited. Instead, it will be applied as a credit towards your next sale transaction with us.
     
  • Sales:
    You don’t pay anything until closing and cancel anytime with no penalty.
